AeroFind AG ("AeroFind", "we", "us", or "our") takes the security and protection of aviation operational data and passenger personal data with the utmost seriousness. AeroFind supports customer-controlled deployments and cloud-hosted trial environments, with hosting, support access, sub-processors, and retention settings documented per deployment.

1. Core Principles of Data Sovereignty

AeroFind is designed so each deployment can define and document its own data boundary:

  • Deployment-Specific Storage: Passenger data, Property Irregularity Reports (PIRs), and telemetry are stored in the configured customer or hosted environment. The exact physical/cloud location must be confirmed before production use.
  • No Production Data in Demos: Trial environments are intended for fictional or demo data unless a signed AVV/DPA, hosting review, and production security sign-off are complete.

2. Categories of Information Processed

In compliance with IATA Resolution 753, we process passenger baggage identifiers to secure seamless transit tracking. Specifically, our system logs:

  • Passenger File Data: Full name, flight route, booking reference (PNR), baggage tag number, email address, and contact number.
  • Baggage Telemetry: Baggage category, material descriptions, color codes, custom flight itineraries, and passenger-uploaded photos of the items.
  • Courier Information: Shift coordinates, route logs, and digital signature records (Proof of Delivery).

3. Neural Matching & AI Processing

AeroFind can support staff-reviewed matching and communication assistance. If an external AI provider is enabled, the provider, processing location, data categories, transfer mechanism, and DPA/sub-processor status must be documented before live data is used. Trial demonstrations should use demo-only content.

4. Retention and Erasure Support

To support passenger rights, the platform includes configurable retention and erasure workflows:

  • Retention Cleanup: Closed or delivered baggage reports, cabin lost/found records, and operational logs can be purged after configured retention periods.
  • Data Subject Rights: DSAR export and anonymisation tools support the Controller's review and fulfilment of access, deletion, and restriction requests.
